Description:
Autodesk is seeking a proactive and highly organized Executive Assistant to provide administrative and operational support to the Senior Director within the Entertainment & Media team, with a focus on Flow Studio. This position is ideal for a resourceful professional who excels at managing executive priorities, coordinating complex schedules, and ensuring seamless day-to-day operations.
The successful candidate will serve as a trusted partner to leadership by handling executive administration, coordinating meetings and events, managing travel and expenses, supporting vendor and procurement processes, and collaborating with teams across the organization. This role requires exceptional organizational abilities, strong communication skills, and the confidence to work independently in a dynamic global environment.
Key Responsibilities:
• Manage executive calendars, schedule meetings, and coordinate domestic and international travel arrangements.
• Track executive expenses, prepare expense reports, and ensure timely submission within budget deadlines.
• Prepare meeting agendas, presentation materials, meeting minutes, and follow up on action items.
• Coordinate virtual and in-person meetings, events, off-site sessions, and related logistics.
• Maintain email aliases, distribution lists, shared directories, and user permissions.
• Collaborate with executive assistants across the organization to coordinate leadership schedules and company events.
• Support departmental purchasing activities, including asset tracking and vendor coordination.
• Process purchase orders, verify invoices, and manage payment requests using Supplier Central.
• Coordinate staffing requests, contracts, and outsourcing activities while ensuring compliance requirements are met.
• Maintain accurate records of vendors, assets, procurement activities, and business documentation.
Requirements:
• Bachelor’s degree.
• 3–5 years of experience supporting senior executives in a multinational, fast-paced environment.
• Outstanding organizational, multitasking, and time management skills.
• Ability to adapt quickly to changing priorities, processes, and business needs.
• Proven ability to work under pressure while meeting deadlines.
• Proficiency with Microsoft Office Suite, Microsoft Teams, SharePoint, Slack, and Mac and Windows operating systems.
• Comfortable using AI tools and modern workplace technologies.
• Excellent written and verbal communication skills in English.
• Willingness to travel locally and internationally when required.
• Ability to occasionally work outside regular business hours to support global teams.
• High level of professionalism and discretion when handling confidential information.
• Self-motivated with excellent interpersonal and collaboration skills.
