Description:

HubSpot is seeking a highly organized and proactive Executive Assistant to join its Flywheel Pillar team. This role is designed to provide high-level administrative and operational support to senior leadership, ensuring smooth execution of daily priorities and strategic initiatives.

The selected candidate will support the Vice President of Partner Sales and the Vice President of US Small Business, playing a key role in optimizing schedules, managing operations, and enabling leadership to focus on business growth and impact. This position requires strong coordination skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.

Key Responsibilities:

• Manage calendars, meetings, travel arrangements, and scheduling for senior executives

• Support preparation for leadership meetings, offsites, summits, and strategic sessions

• Coordinate agendas, logistics, and presentation materials for key business events

• Collaborate with internal Executive Assistants and coordinators across teams

• Handle confidential information and sensitive leadership projects with discretion

• Organize virtual and in-person events, meetings, and corporate engagements

• Manage expense reports, purchase orders, vendor coordination, and payments

• Ensure smooth administrative operations for executive-level functions

• Provide backup support across teams and contribute to cross-functional initiatives

Requirements:

• Proven experience in executive or administrative support roles

• Experience supporting senior leadership in fast-paced environments

• Strong organizational and multitasking abilities

• Excellent communication and stakeholder management skills

• High level of professionalism and discretion

• Proficiency in Google Workspace and/or Microsoft Office tools
