We are currently seeking an experienced Executive Assistant based in the Eastern Time Zone to support multiple members of the Executive Leadership Team, reporting directly to the Chief Product Officer. In this role, you will act as a trusted partner to senior leaders, aligning strategic priorities with daily execution while ensuring seamless coordination across schedules, meetings, projects, and travel. Key Responsibilities:

  • Represent the Executive Leadership Team professionally with internal and external stakeholders, including customers, vendors, and partners
  • Manage the executive operating rhythm, including meeting agendas, executive offsites, and follow-ups on shared objectives
  • Proactively manage executive calendars and communications, always planning ahead to optimize time and focus
  • Plan and coordinate logistics for leadership events such as executive offsites, board meetings, and customer dinners
  • Arrange complex domestic and international travel, including detailed itineraries and timely expense reporting
  • Act as a trusted liaison across teams, making operational decisions and driving cross-functional initiatives forward
  • Identify and implement process improvements to enhance efficiency and clarity for executive operations
  • Maintain the highest standards of integrity, discretion, and follow-through
  • Handle additional projects and responsibilities as business needs evolve

Required Experience and Skills:

  • Minimum 5 years of experience supporting multiple senior executives with professionalism and discretion
  • At least 1 year of experience managing scheduling or logistics for boards or committees
  • Proven experience with high-volume scheduling and coordination
  • Hands-on experience planning in-person leadership events, including executive offsites and board-level meetings
  • Strong calendar management, meeting coordination, and event planning skills
  • Proficiency with Google Workspace (Docs, Slides, Calendar), Zoom, and Slack
  • Accurate expense management capabilities
  • Excellent time management, prioritization, judgment, and emotional intelligence
  • Ability to remain composed under pressure and adapt in real time
