Zip Co, a global leader in ‘Buy Now, Pay Later’ solutions, is looking for a proactive and highly organized Executive Assistant to support our senior leadership team. This remote-first role is ideal for candidates based in the US, preferably aligned with East Coast time zones, or those interested in a hybrid setup in Greater Manhattan. The Executive Assistant will play a crucial role in managing executive calendars, coordinating meetings, and facilitating seamless communication across teams and stakeholders.

Key Responsibilities:


• Manage complex calendars for up to three senior executives across multiple time zones
• Coordinate internal and external meetings, including agenda preparation and timely follow-ups
• Serve as the primary liaison between executives, internal teams, and external stakeholders
• Oversee inbox management, prioritize messages, and respond on behalf of executives as needed
• Book and manage domestic and international travel, including multi-stop itineraries and accommodations
• Prepare reports, presentations, and documentation for meetings and leadership updates
• Utilize AI-powered tools to automate recurring administrative tasks and improve efficiency
• Follow up on action items from meetings to ensure completion and accountability
• Support expense reconciliation, invoice processing, and financial documentation management
• Plan and execute team-building events, offsites, and culture initiatives

Qualifications & Skills:


• 3+ years of experience supporting senior executives or leadership teams
• Expertise in managing complex, high-volume calendars
• Experience coordinating domestic and international travel logistics
• Proficiency in G-Suite, Slack, MS Office, and AI productivity tools (ChatGPT, Notion, etc.)
• Exceptional organizational, time-management, and attention-to-detail skills
• Strong verbal and written communication abilities, especially for executive correspondence
• Ability to handle sensitive information with discretion and professionalism
• Proactive mindset with the ability to anticipate needs and independently resolve issues
• Experience supporting multiple leaders in a fast-paced, dynamic environment
• Willingness to learn and leverage new AI tools for productivity enhancement
