We are currently seeking a highly organized and professional Executive Assistant to provide comprehensive administrative support to senior leaders within the Individual Retirement leadership team.
This role reports directly to the Head of Individual Retirement and requires a proactive professional who can manage complex schedules, handle sensitive information with discretion, and support senior leadership with precision and efficiency.
Key Responsibilities:
• Coordinate and manage complex calendars, including meetings, video conferences, and domestic and international travel
• Partner with the Individual Retirement Sales Operations Manager to support town halls, all-hands meetings, and departmental activities
• Proactively manage executive schedules to ensure effective use of time
• Support onboarding and offboarding of direct reports within the Individual Retirement team
• Assist in resolving and escalating technology or system-related issues for non-distribution team members
• Draft and compose professional correspondence, including emails and formal letters
• Review, monitor, and escalate expense reports for the Head of Individual Retirement
• Support expense management escalations for non-distribution team members
• Handle confidential and sensitive information with the highest level of integrity and professionalism
• Independently manage ongoing and ad-hoc administrative projects
• Partner with performance leadership to schedule quarterly OKR sessions
• Maintain active status of FINRA licenses and continuing education requirements
• Distribute monthly anniversary and birthday communications across teams
• Manage conference registrations and external event coordination
• Submit monthly invoices through Ariba for senior leadership
Minimum Qualifications:
• Associate degree or equivalent professional experience
• Minimum 5 years of executive or administrative support experience
• Experience supporting large or senior-level teams
• Advanced proficiency in Microsoft Word, Excel, and PowerPoint
Preferred Qualifications:
• Experience with expense management tools such as Concur
• Familiarity with Ariba or similar procurement platforms
• Strong written and verbal communication skills with excellent attention to detail
• Advanced organizational skills with the ability to manage multiple priorities
• Ability to work under tight deadlines while maintaining accuracy
• Strong problem-solving, research, and analytical abilities
• High level of professionalism, discretion, and interpersonal skills
• Ability to interact effectively with stakeholders at all organizational levels
• Capable of working independently with minimal supervision
