About The Role:
FMG is seeking a highly organized and proactive Executive Assistant to provide dedicated support to C-level executives. The role involves managing complex calendars, coordinating travel, preparing expense reports, and facilitating effective communication between executives and both internal and external stakeholders. The successful candidate will act as a primary point of contact for the executive team, ensuring smooth administrative operations and seamless execution of various projects and events. Reporting to the Vice President of People, this role supports all C-suite members and requires discretion, problem-solving skills, and the ability to manage confidential information with integrity. The Executive Assistant will also coordinate company events, executive off-sites, and board meetings, contributing to overall leadership efficiency.
Qualifications:
- Minimum 3+ years supporting C-level executives (CEO, COO, CFO, etc.)
- Proficiency in Google Workspace (Gmail, Drive, Sheets, Docs, Presentations)
- Exceptional organizational and time management skills
- Strong written and verbal communication
- High level of discretion and confidentiality
- Proactive problem-solving attitude and ability to anticipate executive needs
- Experience coordinating complex travel and managing multiple calendars
- Ability to handle multiple priorities in a fast-paced environment
- Experience in event planning and execution, including off-sites and large meetings
- Familiarity with expense reporting and budget management
Responsibilities:
- Strategically manage complex executive calendars across multiple time zones
- Book and coordinate executive travel, accommodations, and logistics
- Prepare and submit expense reports in line with company policies
- Serve as liaison between executives and internal/external contacts, including board members
- Maintain confidentiality and exercise discretion with sensitive information
- Plan and coordinate company events, executive off-sites, and team recognition activities
- Organize logistics for board meetings, dinners, and related events with Board of Directors’ admins
- Secure meeting spaces and accommodations for scheduled and ad hoc meetings
- Act as primary office liaison among executives, employees, clients, and external partners
- Support the People Team with company-wide event planning and employee engagement initiatives
- Assist employees with the company Travel Management Platform
- Perform additional administrative tasks and ad hoc requests from the executive team
