What You’ll Do:
Avalara is seeking a highly organized Executive Assistant to provide direct support to the Chief Marketing Officer and an additional Senior Vice President. Reporting to the Senior Director of Corporate Experience, you will work across levels of the organization to coordinate complex schedules, events, and administrative projects while ensuring efficient use of executive time.

Key Responsibilities:

  • Manage complex calendars and scheduling for senior executives, prioritizing and optimizing meeting time.
  • Coordinate executive offsite meetings for the CEO and assist with All Hands logistics for the CMO.
  • Triage and manage executive email inboxes and incoming requests.
  • Arrange complex travel itineraries, including multi-leg and last-minute changes.
  • Coordinate internal and external executive events and meetings (staff meetings, all-hands, off-sites).
  • Prepare and support delivery of key administrative deliverables: reports, PowerPoint presentations, executive communications.
  • Process expense reports and perform reconciliation tasks (Concur experience preferred).
  • Support special projects and ad-hoc initiatives that require cross-functional coordination.

What You’ll Need To Be Successful:

  • 3+ years of relevant professional experience, with at least 2 years providing direct support to senior leaders.
  • Experience planning and executing executive-level meetings and events.
  • Advanced proficiency with Microsoft 365 applications (Outlook, PowerPoint, Excel, Word).
  • Experience processing expenses using Concur or similar expense management tools.
  • Strong communication skills and the ability to interact confidently with stakeholders at all levels.

Compensation & Bonus:
The role’s base pay range varies by state (listed above). Final salary will depend on factors such as location, experience, and qualifications. This position is eligible for an annual bonus based on individual and company performance.
