Role Summary
As an Events Coordinator, you’ll partner with the Director of Events to plan and execute both internal programs and customer-facing experiences that drive culture and commercial impact. You’ll own logistics, vendor coordination, communications, and on-the-ground delivery for a mix of initiatives — from immersive customer trainings and sales activations to offsites, product milestones, and company-wide gatherings.

Key Responsibilities

  • Event & Experience Execution: Coordinate logistics for internal and external events (scheduling, travel, venue booking, vendor management, run-of-show), provide on-site or virtual support as required, and manage multiple event timelines concurrently.
  • Vendor & Supplier Management: Source and manage vendors for catering, A/V, decor, swag, and experiential elements; vet vendors and maintain strong working relationships.
  • Communications & Engagement: Draft and manage pre-event invites, RSVP tracking, reminders, and post-event follow-ups; support production of promotional materials (agendas, decks, signage, swag) and help ensure a consistent brand voice across touchpoints.
  • Project Support & Operations: Create and maintain templates, checklists, and repeatable processes; support budget tracking, receipts and vendor contracts; document lessons learned and contribute to post-event reviews.
  • Tracking & Documentation: Keep clear task lists, timelines, dependencies and resource documentation so programs run smoothly and scale.

About You

  • 3–5 years’ experience in event coordination, experiential marketing, employee experience, or similar roles.
  • Exceptionally organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  • Strong communicator and collaborator who thrives working with distributed teams.
  • Creative mindset with a knack for designing thoughtful, memorable experiences.
  • Familiarity with tools such as Notion, Google Workspace, Asana (or similar) and comfortable working asynchronously.
  • Bonus: experience supporting both internal culture programs and customer-facing events.
