Purpose of the Position:
Design, coordinate, and execute virtual and in-person events that foster engagement among students, alumni, faculty, and community stakeholders. Deliver impactful experiences that promote institutional visibility, enhance student success, and strengthen relationships across UMA’s diverse community. Ensure all events align with institutional values and goals.
Key Responsibilities:
- Plan and execute virtual and in-person events, including community engagement campaigns, commencement ceremonies, and marketing initiatives
- Lead event committees, particularly for marketing-led events; collaborate with internal teams to manage logistics, timelines, and execution
- Oversee event budgets, ensuring cost-effective planning and high-quality standards
- Coordinate with internal teams and stakeholders to align event strategies with institutional objectives
- Research and coordinate with venues and vendors; manage logistics including A/V setup, catering, transportation, accommodations, and on-site support
- Support events tied to philanthropic and institutional initiatives
- Develop and maintain detailed event briefs, timelines, and communication plans
- Contribute to the development of new event concepts and campaigns
- Proactively identify and resolve issues to ensure smooth execution and positive attendee experiences
- Perform other duties as assigned
Required Skills/Experience:
- 2 years of experience in event production
- Proficient in MS Office (Word, Excel, PowerPoint) and business tools such as Microsoft Teams
- Understanding of event marketing best practices and reporting/analysis (Excel dashboards, Google Analytics)
- Strong interpersonal, customer service, and problem-solving skills
- Professional verbal and written communication in English
- Ability to support a diverse and inclusive work environment
- Computer literacy/basic computer skills
Preferred Requirements:
- 5 years of experience in event-related fields
- Experience with Monday.com or other project management software
- Exceptional planning and organizational abilities
- Ability to work nights and weekends when necessary
- Local to Tampa Bay area for in-person support, venue tours, and onsite preparations
Compliance & Work Environment:
- Knowledge of applicable state/federal laws, regulations, and internal policies; escalate compliance concerns appropriately
- Remote position with occasional onsite travel
- Home office setup with high-speed internet; flexibility to work evenings and weekends as needed
