Description:
Heed Health is seeking a proactive and organized Event Operations Specialist to join our team remotely. This position plays a key role in managing client relationships and ensuring smooth operational execution of healthcare events. The specialist will oversee events from client onboarding through post-event follow-up, ensuring medics are assigned appropriately, and clients receive exceptional service.

Key Responsibilities:

Client Management:

  • Own the full client journey, from onboarding to post-event support, ensuring a seamless experience
  • Conduct onboarding calls, gather event requirements, and coordinate any add-on service needs
  • Provide pre-event details and follow up post-event to assess satisfaction and identify areas for improvement

Event Coordination and Oversight:
Pre-Event:

  • Manage all aspects of event setup, including staff assignments, supply distribution, and client readiness
  • Finalize assignments at least 7 days prior to the event and communicate all details to assigned medics
  • Send client-medic introduction emails and confirm medic assignments 24 hours prior

During Event:

  • Address urgent client or medic needs promptly
  • Coordinate coverage for call-outs or no-shows and ensure clients are aware of on-call contacts

Post-Event:

  • Review and approve medic timesheets, confirm accuracy, and track return of leased equipment
  • Conduct follow-ups with clients and medics to gather feedback and identify improvement opportunities
  • Submit final event reports including medic hours and additional services for invoicing

Recruitment and Hiring:

  • Post job openings for events in underrepresented areas
  • Conduct interviews and guide medics through onboarding, ensuring all credentials and HR documents are in order
  • Identify opportunities to expand the medic network geographically

Candidate Qualities:

  • Strong sense of ownership, accountability, and organization
  • Proven ability to serve as main point of contact for clients, with urgency and professionalism
  • Independent decision-making to ensure optimal client service
  • Experience with Google Suite, HubSpot, and HR platforms preferred
  • Flexible, proactive, and able to escalate time-sensitive issues appropriately

Schedule:

  • Monday – Friday 8am – 5pm PST (East Coast: 11am – 8pm)
