Description:
Swooped is seeking an organized and detail-oriented Event and Admin Coordinator to support global event operations and executive administrative activities. This role serves as a key operational support function, managing more than 15 internal and external events annually while ensuring smooth planning, execution, and follow-up.
The ideal candidate is a highly organized professional who can manage complex logistics, coordinate vendors, oversee budgets, and support leadership initiatives. This position requires someone who thrives in a fast-paced environment, enjoys creating structure, and can independently manage multiple priorities with accuracy and efficiency.
Key Responsibilities:
• Manage end-to-end event project planning and execution for global conferences and company events.
• Develop and maintain event playbooks, schedules, venue details, meeting plans, and logistical documentation.
• Research and evaluate event opportunities based on business value, audience, costs, sponsorship options, and strategic goals.
• Support contract negotiations and coordinate event requirements with vendors and partners.
• Manage event timelines, budgets, deliverables, and identify potential risks or challenges.
• Coordinate event logistics, including shipping materials, signage, equipment, and promotional items to domestic and international venues.
• Manage attendee registrations, badges, travel arrangements, hotels, meeting spaces, transportation, and dining requirements.
• Act as the main point of contact for event organizers, venues, hotels, and external vendors.
• Coordinate post-event activities, including tracking contacts, leads, outcomes, and updates in Salesforce.
• Conduct event reviews and maintain follow-up actions to ensure continuous improvement.
• Support the CEO’s Executive Assistant with administrative tasks, expense tracking, meeting preparation, calendar coordination, and travel arrangements.
Requirements:
• Experience in event coordination, administration, operations, or project management.
• Strong organizational skills with excellent attention to detail.
• Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment.
• Strong communication skills with the ability to coordinate with internal teams and external stakeholders.
• Proactive mindset with the ability to identify issues and solve problems independently.
• Experience managing logistics, vendors, budgets, and operational processes.
• Ability to work effectively in a fully remote environment.
