Description:

Warner Norcross + Judd is seeking an experienced E-Billing Specialist to manage and support the firm’s electronic billing operations. The successful candidate will oversee invoice preparation, submission, compliance monitoring, and resolution of billing issues while ensuring clients receive accurate and timely invoices through various e-billing platforms.

This role serves as a key resource for attorneys, internal teams, and clients by managing billing requirements, outside counsel guidelines, invoice workflows, and system configurations. The ideal candidate will have strong legal billing experience, excellent attention to detail, and the ability to manage high-volume billing activities in a professional environment.

Key Responsibilities:

• Manage all aspects of electronic billing processes and ensure accurate invoice submission through client e-billing platforms.

• Set up new matters on e-billing systems including TyMetrix, CounselLink, Legal Tracker, Brightflag, and other vendor platforms.

• Maintain and apply outside counsel billing guidelines to ensure compliance with client requirements.

• Review pre-bills and final invoices for accuracy, completeness, and adherence to firm and client billing policies.

• Prepare and submit electronic invoices while monitoring submission status and resolving rejected invoices, reductions, and billing disputes.

• Coordinate invoice appeals with attorneys and clients by providing supporting documentation and resolving billing issues.

• Edit time entries, expense descriptions, and billing codes according to client-specific requirements.

• Maintain accurate client, matter, billing setup, budget, and e-billing configuration information.

• Review legal service agreements and billing guidelines to ensure proper compliance.

• Support regular billing processes including adjustments, write-offs, invoice corrections, and final invoice submissions.

• Track billing deadlines and ensure invoices are processed within required timelines.

• Review accounts receivable aging and collaborate with billing and collections teams on outstanding balances.

• Serve as the main contact for attorneys and staff regarding e-billing requirements and platform-related issues.

• Prepare billing reports including aging summaries, realization reports, and e-billing performance updates.

• Support month-end and quarter-end billing activities and other finance-related projects.

• Maintain confidentiality of client and firm financial information.

Requirements:

• Bachelor’s Degree in Accounting, Finance, Business Administration, or equivalent accounting/finance experience.

• Minimum 3 years of legal billing experience, with e-billing experience preferred.

• Experience with electronic billing platforms such as TyMetrix, CounselLink, Legal Tracker, Brightflag, and E-Billing Hub.

• Knowledge of legal task codes, activity codes, and expense codes.

• Experience interpreting and applying outside counsel billing guidelines.

• Familiarity with client and matter database structures, billing setups, budgets, and designations.

• Strong proficiency in Microsoft Office, especially intermediate to advanced Microsoft Excel skills.

• Experience with Aderant, 3E, iManage, or similar legal billing systems is preferred.

• Strong analytical, mathematical, and problem-solving abilities.

• Ability to manage large invoice volumes and meet strict billing deadlines.

• Excellent communication, organization, and time management skills.
