Overview:
Buchanan Ingersoll & Rooney is a national law firm known for delivering strategic legal, regulatory and government-relations advice to clients at regional, national and international levels. We are seeking an E-Billing Coordinator to join our Billing team in Tampa, FL (openings also in Pittsburgh and Philadelphia). The role focuses on tracking, submitting and resolving e-billing issues across vendor platforms and supporting accurate billing data in Elite 3E.
Key Responsibilities:
- Submit and track invoices to vendor portals via eBillingHub, ensuring compliance with Outside Counsel Guidelines.
- Monitor invoice acceptance across vendor systems such as Legal Tracker, T360 and others.
- Perform first-level corrections on rejected e-bills (e.g., fix block-billing, task codes) and resubmit as required.
- Track newly created matters on vendor sites and coordinate with the Billing team to establish matters in Elite 3E.
- Review and communicate timekeeper rate approvals and adjustments to Billing and Pricing teams.
- Support appeals and resolution of rejections and reductions in coordination with Billing Coordinators.
- Recommend process improvements to reduce future rejections and line-item reductions.
- Carry out additional duties as assigned by the E-Billing Supervisor.
Skills & Requirements:
- Associates Degree (business/accounting) or equivalent experience is required.
- Minimum 2 years’ experience working in a law firm or professional services environment with exposure to legal billing or accounting functions.
- Familiarity with Elite 3E, Elite Enterprise or Aderant and experience using eBillingHub/BillBlast and major vendor portals (T360, Legal Tracker, CounselLink) is highly desirable.
- Proven proficiency in Microsoft Office, especially Excel and Word.
- Strong organisational skills with the ability to prioritise workload and meet deadlines.
- Excellent written and verbal communication skills.
- Willingness to work overtime or weekends when needed.
