This role is essential in organizing, managing, and maintaining critical school documents to ensure accessibility, compliance, and confidentiality. The position supports both academic and administrative functions, ensuring precise record-keeping and effective file management.

Key Responsibilities:

  • Maintain and organize digital and physical filing systems according to school and regulatory standards
  • Receive, review, scan, and file various documents including student records, contracts, administrative files, and reports
  • Ensure accuracy and completeness of all incoming and outgoing documentation
  • Control access to confidential files and uphold data privacy policies, including FERPA compliance
  • Track document versions and manage revisions to maintain up-to-date records
  • Coordinate with academic and administrative departments to handle document requests and retention needs
  • Assist with preparation of reports, audits, and record reviews
  • Dispose of records following the school’s retention schedule and compliance guidelines
  • Provide support for additional clerical and administrative duties as required

Qualifications & Skills:

  • High school diploma or equivalent required; Associate’s degree or office administration coursework preferred
  • 1–3 years of relevant experience in document control or administrative support
  • Exceptional attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems
  • Ability to manage confidential information with discretion and integrity
  • Familiarity with document retention policies and practices; FERPA knowledge preferred
  • Strong time management and communication skills
  • Experience in educational or nonprofit environments is desirable
