The Data Entry Specialist (DES) plays a key role within Operations to maintain high data quality and smooth workflows across multiple systems and teams.

Role Summary
As a Data Entry Specialist, you will be responsible for entering, verifying and maintaining large volumes of data across JAMS systems while meeting quality and turnaround targets. You will act as a cross-functional resource—supporting data migrations, audits, and clean-up projects—and provide backup assistance where needed to keep operations running efficiently.

What You Will Do

  • Process high volumes of data accurately into company databases and adhere to established Data Entry Standards and deadlines.
  • Verify and audit data for completeness and correctness; investigate and resolve discrepancies by collaborating with stakeholders.
  • Maintain confidentiality and security of sensitive information, following JAMS’ information-security protocols.
  • Perform data cleaning and reconciliation and identify opportunities to automate repetitive tasks to improve efficiency.
  • Support system integrations and data migrations, assisting with transfers between platforms such as HubSpot, JAMS Access and JAMSware.
  • Serve as a point of contact to combine and reconcile client and firm records when required.
  • Contribute to process improvements by documenting issues, proposing fixes, and participating in data-quality initiatives.
  • Assist with ad-hoc data projects and other duties within the scope of the role.

Qualifications & Required Skills

  • Education: High School (GED) required; Associate’s degree required; Bachelor’s degree preferred.
  • Experience: 2–3 years in administrative, data entry, clerical, or operations roles (legal and client-service experience required).
  • Technical skills: Proficiency with Microsoft Office, Google Sheets and database or data-management tools; familiarity with audio/video conferencing systems is a plus.
  • Abilities: Exceptional attention to detail, strong organizational and prioritization skills, and the ability to manage multiple tasks in a fast-paced environment.
  • Interpersonal skills: Excellent written and verbal communication, sound judgment, emotional intelligence, and the ability to work independently and collaboratively.
  • Problem solving: Ability to identify data issues, implement practical solutions, and recommend process improvements.
