Description:
Givens Transportation is seeking a detail-oriented and organized Data Entry / Billing Clerk to join its Transportation Administration team in Chesapeake, Virginia. The successful candidate will support transportation operations by managing order entry, invoice preparation, billing accuracy, and administrative processes for internal and external customers. This role requires strong attention to detail, excellent data entry skills, and the ability to work with multiple systems while managing changing priorities in a fast-paced environment.
Key Responsibilities:
• Manage the order entry process for assigned transportation customers.
• Review documentation from multiple sources to ensure customer charges are accurately billed.
• Generate and process customer invoices within established departmental timelines.
• Verify billing information and reconcile data to maintain invoice accuracy.
• Enter and maintain transportation order information within Transportation Management Systems (TMS).
• Respond to internal and external requests professionally and efficiently.
• Support daily transportation administrative operations as needed.
• Utilize Microsoft 365 applications and business systems to complete tasks and resolve issues.
• Manage multiple priorities while ensuring timely and accurate completion of assigned responsibilities.
Requirements:
• High School Diploma required.
• Experience in customer service, accounting, billing, or administrative support.
• Strong proficiency in Microsoft Office Suite, especially Excel, for reporting and data management.
• Excellent written and verbal communication skills.
• Strong attention to detail with the ability to review, analyze, and reconcile information from multiple sources.
• Ability to manage multiple tasks and priorities in a dynamic work environment.
• Strong organizational skills and ability to adapt to changing business requirements.
• Previous transportation industry experience, particularly in drayage or truckload operations, is preferred.
• Experience using Trinium TMS is preferred but not required.
• Strong knowledge of:
• Data entry, billing processes, invoice generation, and record management.
• Microsoft Excel, reporting tools, and administrative systems.
• Transportation operations and customer service procedures.
