We are currently seeking a Customer Service Specialist to join our growing team. This role acts as the primary contact for customers, sales teams, and internal departments. You will manage orders, resolve service issues, and oversee account setup and equipment tracking to ensure efficient operations and customer satisfaction.

Key Responsibilities:

  • Manage order fulfillment, monitor open orders, resolve billing and delivery blocks, and generate weekly sales reports.
  • Work closely with customers, sales, finance, and legal teams to support account setup processes.
  • Coordinate with 3PL, supply chain, and sales to meet customer expectations and ensure system accuracy.
  • Maintain customer equipment records and assist with upgrades when needed.
  • Support equipment evaluation programs, including shipment, returns, and purchase conversions.
  • Investigate and process credits, debits, and returns efficiently.
  • Manage trunk stock requests, conduct audits, and provide monthly reconciliation reports to leadership.
  • Provide outstanding customer support via phone, email, and other communication channels with a professional and enthusiastic approach.
  • Document all customer interactions per standard procedures and escalate complex issues when necessary.
  • Collaborate with management to identify process improvements and implement changes.

Requirements:

  • High school diploma required.
  • Minimum 5 years of customer service experience in a fast-paced environment.
  • Must be based on the U.S. West Coast with up to 10% travel required.
  • Proficiency in MS Word, Excel, Outlook, Teams, and strong typing skills.
  • Experience with NetSuite, Salesforce, or QuickBooks preferred.
  • Excellent communication, problem-solving, multitasking, and organizational skills.
  • Ability to work independently and within a team environment.
  • Medical device industry experience is required.
  • Must comply with county, state, and federal vaccination regulations.
