Description:

Timeline Optimization Group is highlighting a Customer Service Coordinator opportunity with Millennium Health LLC, a specialty laboratory company providing medication monitoring and drug testing services to healthcare professionals. The role supports the Customer Service department by providing administrative assistance, managing customer communications, and ensuring efficient daily operations.

The successful candidate will handle documentation, customer account updates, case management activities, and internal workflow coordination while maintaining compliance with HIPAA, confidentiality, and security standards. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

• Provide administrative and clerical support to the Customer Service leadership team and department staff.

• Electronically file customer and patient account documents to maintain accurate and timely records.

• Monitor and distribute incoming department cases, faxes, voicemails, and emails while ensuring service level requirements are met.

• Process UPS and FedEx pickup requests, customer supply orders, report redactions, and fax verification requests.

• Support the monthly Order Entry Verification process according to established procedures.

• Access, update, and maintain customer account information within laboratory information systems, CRM platforms, and other software tools.

• Complete case management tasks and maintain professional written communication with internal and external customers.

• Follow HIPAA, confidentiality, compliance, and cybersecurity policies at all times.

• Assist with additional projects and duties assigned by Customer Service leadership.

Requirements:

• High School Diploma required.

• Minimum 1 year of general administrative or clerical experience.

• Basic knowledge of Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.

• Salesforce.com experience is preferred.

• Excellent verbal and written communication skills.

• Strong organizational skills with attention to detail.

• Ability to multitask, manage deadlines, and work under pressure.

• Team-oriented attitude with strong problem-solving abilities.

• Ability to take direction and adapt to changing priorities.
