Job Overview

The Correspondence Billing Specialist will be responsible for managing customer billing inquiries, resolving billing discrepancies, and providing timely and professional responses to customer communications. This remote role is critical in ensuring that our billing processes are smooth, accurate, and transparent. The ideal candidate will have strong communication skills, experience in billing processes, and the ability to work independently in a remote environment.

Key Responsibilities

  • Respond promptly to customer inquiries related to billing and account discrepancies, providing accurate and clear explanations.
  • Generate and send billing correspondence to customers, including invoices, statements, and payment reminders.
  • Review and analyze billing data to identify discrepancies, ensuring that all charges are correct before communicating with customers.
  • Work with the finance and accounting team to resolve any billing issues and discrepancies.
  • Maintain accurate records of all customer interactions and correspondence in the company’s CRM system.
  • Follow up with customers to ensure payment is received or to address any issues with payments.
  • Assist with the preparation of reports related to billing, customer accounts, and outstanding payments.
  • Ensure compliance with company policies and legal requirements related to billing and correspondence.
  • Provide customer feedback to help improve billing processes and customer satisfaction.
  • Continuously work to streamline the billing correspondence process and recommend improvements to management.

Qualifications

  • High school diploma or equivalent (Associate’s degree in business or accounting is a plus).
  • Proven experience in billing, customer service, or administrative support, preferably in a remote setting.
  • Excellent written and verbal communication skills with the ability to explain complex billing information in an easy-to-understand manner.
  • Strong attention to detail and accuracy in data entry and billing documentation.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.), and familiarity with billing software and CRM systems.
  • Ability to handle multiple tasks and manage time effectively in a remote environment.
  • Strong problem-solving skills and the ability to resolve issues independently.
  • Knowledge of general accounting principles and billing procedures is a plus.
  • High-speed internet connection and a dedicated home office setup.
