As a Clinical Operations Lead, you will be central to the daily operations of our US virtual clinic. You will manage everything from prescription workflows and insurance queries to clinician coordination and service escalations, ensuring patients receive seamless support. This role is high-impact and cross-functional, perfect for someone who thrives in fast-paced environments and enjoys building systems that enhance care delivery. Collaboration with teams across the US and UK is key to keeping operations efficient and continuously improving.
Key Responsibilities
Clinical Operations
- Resolve service and clinical escalations, including disputed fees, patient concerns, and one-off issues with empathy and precision
- Manage end-to-end prescription coordination, handling prior authorizations, shortages, signature chases, and other blockers
- Support monthly and quarterly chart audits in partnership with clinical leadership
Member Support
- Lead front-line US patient support and manage day-to-day front-office operations, ensuring a high standard of care and responsiveness
- Assist with UK patient communications and front-office tasks as needed, maintaining continuity of care
- Address patient insurance inquiries and manage escalations related to coverage, benefits, or denied claims
Coordination & Support
- Coordinate clinician schedules, manage time-off coverage, and ensure the care team operates efficiently
- Partner with engineering teams to triage and resolve technical issues affecting patients or clinicians
- Maintain clear communication across functions, providing insights and closing operational loops
Success Metrics
- Patients experience Stella as organized, responsive, and empathetic
- Clinicians feel supported and can focus on patient care
- Operations run smoothly with issues identified and addressed proactively
- Ambiguity is converted into actionable next steps, maintaining high operational standards
Requirements
- 3+ years of clinical operations experience in a prescribing or virtual care setting
- Comfortable navigating clinical systems and technology, with strong troubleshooting skills
- Excellent communication and empathy when interacting with patients
- Ability to follow direction from multiple stakeholders and work collaboratively
- Strong organizational skills, attention to detail, and ownership in high-paced environments
