About the Role
Charlie Health is hiring a part-time Clinical Administrator to support our virtual clinical teams. This role helps keep groups running smoothly by managing scheduling and attendance, troubleshooting basic tech issues, collecting data, and handling project-based administrative tasks. The Clinical Administrator is essential to ensuring clinicians can focus on delivering high-quality, connection-based care.
Responsibilities:
- Open groups and perform technical setup for the day’s expected participants so sessions start on time.
- Welcome clients to virtual groups, answer routine questions, and facilitate client and facilitator entry into sessions.
- Monitor attendance during sessions and follow up with absent clients when needed.
- Verify and publish attendance records for all treatment days and times.
- Communicate client absences, technological problems, or any clinical concerns promptly to team members, clients, and families.
- Send calendar invitations and text reminders to clients and families for upcoming sessions.
- Track and monitor alumni or family groups when required.
- Administer surveys and assist with other assigned administrative duties.
Requirements:
- W2 part-time role with a minimum commitment of 10 hours per week.
- Preferred availability: Monday–Thursday 3:00–8:00 PM MT (highly preferred) or Monday–Thursday 10:00 AM–2:00 PM MT. Friday/Saturday availability is highly preferred.
- Work authorized in the United States and native or bilingual English proficiency.
- Access to reliable technology and Wi-Fi to perform remote work.
- Prior experience supporting a wide age range (children, teens, young adults, adults) in individual or group clinical settings is highly preferred.
- High attention to detail and the ability to work independently and efficiently.
- Proficiency with cloud-based collaboration and communication tools (Slack, Dropbox, Gmail, Zoom, Google Drive, EMR).
- Limited proficiency in Microsoft Office (Excel) or Google Sheets is expected.
Compensation & Benefits:
- Pay: $20.00 per hour (expected).
- Charlie Health offers comprehensive benefits to full-time, exempt employees; part-time W2 employees receive role-appropriate compensation.
