Role Summary — Chargeback Specialist
The Chargeback Specialist is part of the Payment Operations team and is responsible for managing chargeback disputes to limit financial losses for Entrata and its clients. This role serves as the liaison between properties, banks, and card brands, ensuring disputes are resolved in line with industry rules and internal SLAs.
Responsibilities:
- Manage chargebacks, disputes, credits, retrievals, and reversals from initiation through resolution.
- Conduct thorough transaction research, analyze evidence, and make well-documented decisions.
- Respond to internal and external inquiries within the team’s SLA (typically within 2 business days).
- Apply card-association rules and industry best practices to represent cases to card brands.
- Execute retrieval workflows including merchant notifications and collecting supporting documentation.
- Recommend and implement loss-mitigation measures and educate clients to reduce future disputes.
- Support cross-functional projects and assist team members when needed.
- Continuously identify process improvements to increase service quality for internal and external partners.
Minimum Qualifications:
- Bachelor’s degree or equivalent professional experience.
- Prior experience in banking, payment processing, or roles involving credit card transactions.
- Direct experience with chargebacks and dispute workflows.
- Strong Excel skills (including formulas for complex spreadsheets).
- Clear, professional written and verbal communication; strong attention to detail.
- Good organizational skills, ability to prioritize and work collaboratively with banks, processors, and internal teams.
Preferred Qualifications:
- Familiarity with payment rules and card-brand regulations.
- Knowledge of Google Suite and basic SQL.
- 2+ years exposure to accounting terminology or basic accounting functions.
