Overview Of The Position

The Bookkeeper is responsible for maintaining the School’s financial records, which includes recording financial transactions, reconciling accounts, and preparing financial reports. The Accounting Manager reports directly to the Director of Finance and Operations.

Essential Functions

General Accounting:

  • Maintaining books of account (including but not limited to processing bills, preparing checks, gathering receipts, coding and posting invoices, preparing and recording deposits, journal entries, reconciliations)
  • Reviewing all expense reports for accuracy and proper expense disclosure classification and reporting any variances to the Director of Finance and Operations.
  • Reconcile monthly credit card statement and assure all receipts have been received.
  • Completing monthly reconciliation for all bank accounts
  • Prepares monthly, quarterly and/or annual balance sheet schedules and account analyses. Research and resolve accounting discrepancies. Prepare adjusting and correcting journal entries as needed.
  • Maintains Fixed Asset Ledgers, capitalizing acquisitions, recording depreciation and disposals. Prepares fixed asset reports and posts entries to the general ledger.

Student Enrollment, Billing and Accounts Receivable

  • Completing all student billing functions (tuition, summer programs, and fees for other services)
  • Updating revenue and financial assistance accounts monthly
  • Reviewing accounts receivable, updating payment schedules in Financial Edge, Excel and FACTS, and following up on past due accounts
  • Responsible for issuing all enrollment agreements via Veracross
  • Liaising with Director of Admissions & Marketing on student enrollment changes

Payroll And Benefits Administration

  • Responsible for payroll function. Includes preparing and processing semi-monthly payroll and updating payroll audit schedules (salaries, taxes and benefits)
  • Ensure all payroll deductions are correct and benefit deductions reconcile with annual elections
  • In partnership with the Director of Finance and Operations, onboard all new hires and process terminations

Coordinating With the Advancement Office

  • Liaisin and reconciling with Advancement & Admissions Associate on donations, fundraising and grants
  • Assure all donations are recorded according to donor restrictions

General

  • Assists in the design and/or implementation of Business Office projects
  • Maintains the confidentiality of sensitive financial and other data

Audit And Tax Reporting

  • Prepare schedules and provide documentation as needed for the annual audit
  • Assist with the completion of the Form 990 organizer
  • Prepare annual property tax returns
  • Responsible for collection of W9 forms for all vendors
  • Prepares annual 1099 filing

Qualifications

Required:

  • Bachelor’s degree in finance, accounting or related field
  • Minimum 5 years relevant experience
  • Knowledge of GAAP

Preferred

  • Experience in education or non profit accounting
  • Physical and Psychological Demands

  • Physically and mentally capable of performing multiple tasks simultaneously and be capable of consistently functioning well in a fast-paced environment
  • Able to support and speak passionately about the school’s mission
  • Capable of using a visual display terminal with keyboard

Pay Range

This is a part-time .50 FTE position. Salary range is between $45 and $55 per hour, depending on experience.
