Description:
Jovie is seeking a detail-oriented Billing Specialist to join our team and support efficient pre-sale, bookings, and financial operations. Reporting to the Manager of Billing and Collections, this role plays a key part in ensuring timely and accurate invoicing and financial processes across the organization.
Key Responsibilities:
- Track client invoicing preferences and develop streamlined processes for receiving, processing, and communicating invoicing information
- Collaborate with the accounting team to route invoicing requests and clarify follow-ups
- Respond to internal and external requests and communicate status updates effectively
- Monitor multiple billing inboxes and ensure timely responses to clients
- Record and enter relevant billing data into AdBook, NetSuite, and other tracking systems
- Assist in maintaining invoicing portals such as Ariba and Coupa
- Collaborate with stakeholders to complete, review, and approve billing documents and vendor forms
- Provide W9s and other vendor-requested documentation
- Maintain tools, templates, and resources for efficient billing workflows
- Support the accounting team in establishing timelines for monthly close processes
- Generate AdBook reports for internal teams and reconcile billing data to ensure accuracy
Qualifications:
- Bachelor’s Degree in a relevant field
- 1–2 years of work or internship experience in billing or finance
- Strong organizational skills, attention to detail, clear communication, and eagerness to learn
- Proficient in Microsoft Excel and experienced with NetSuite
- Critical thinker, engaged learner, and strong listener
