Description:
GES is seeking a detail-oriented and organized Billing Coordinator to support the Exhibitions division by handling exhibitor billing for products and services. This role requires close collaboration with GES offices across the U.S., multiple internal departments, and colleagues to ensure accuracy in billing, compliance with audit standards, and timely processing of exhibitor invoices.
Key Responsibilities:
- Audit customer files following established procedures and generate accurate client-specific invoices for products and services within tight timelines
- Verify pricing accuracy for all products and services entered into the Oracle billing system
- Maintain detailed records of all work performed in accordance with company guidelines
- Complete audits of logistics and third-party files
- Ensure necessary approvals are obtained per company policies
- Document revenue opportunities and errors during billing audits and secure approval for any price or service deviations
- Coordinate with account management, exhibitor services, logistics managers, and other internal teams to ensure completeness and accuracy of billing
- Reconcile invoices with Accounts Receivable and process payments, including credit cards or related forms if clients do not have credit terms
- Maintain comprehensive show/exhibitor billing records for internal and external audits
- Adhere to GES policies, procedures, and regulations in all duties
- Participate in corporate initiatives focused on system automation and process improvements
- Foster professional relationships with team members, account management, exhibitor services, logistics, corporate, and accounting departments
Qualifications & Skills:
- Minimum 2 years of college-level coursework in Accounting, Finance, or Business Administration
- At least 2 years of billing experience required; 1 year of industry experience preferred
- Strong PC skills, including intermediate proficiency in MS Office (Excel, Word, Teams, Outlook)
- Experience with Oracle Applications is highly preferred
- Excellent interpersonal, communication, and writing skills
- Strong organizational skills and ability to multitask under tight deadlines
- Ability to work independently and collaboratively in a team environment
