Description:
Cerity Partners is seeking a highly organized and client-focused Bill Pay Specialist to join our Family Office team. This role involves managing the full lifecycle of bill payments, supporting high-touch concierge requests, and ensuring exceptional client experiences for UHNW individuals and families. The ideal candidate thrives in a fast-paced environment and demonstrates a solutions-oriented, detail-driven approach.
Primary Responsibilities:
Bill Pay & Expense Management:
- Oversee the entire bill payment process, including intake, processing, approvals, and reconciliation.
- Track and manage open invoices, outstanding balances, and recurring bills to ensure timely payment.
Client & Concierge Support:
- Act as a primary contact for clients, vendors, and third parties regarding bill pay and administrative matters.
- Coordinate personal and concierge tasks, such as renovation tracking, household employee support, and ad hoc client requests.
- Deliver professional, prompt, and discreet service to clients at all times.
Process & Technology:
- Collaborate with advisors, client teams, and internal specialists on cross-functional initiatives.
- Utilize proprietary tools to ensure accurate and timely completion of deliverables.
- Support the adoption of new technologies, tools, and process improvements to enhance team efficiency.
Required Qualifications / Skills:
- Exceptional attention to detail and accuracy.
- Client-first mindset with strong verbal and written communication.
- Excellent organizational and time-management skills.
- Ability to handle sensitive information with discretion.
- Proactive, resourceful, and self-motivated.
Technical Proficiency:
- Experience with bill payment systems; Bill.com preferred.
- Proficient in Microsoft Office, especially Excel.
- Experience with QuickBooks is a plus.
- Quick learner, able to adapt to new systems and tools.
