Description:

QC Servion, LLC is seeking an experienced Administrative Specialist to support business operations across its growing ecosystem of companies, including organizations within the data center industry. This remote position focuses on improving operational efficiency through advanced software tools, digital solutions, administrative support, and process improvement initiatives.

The successful candidate will manage complex administrative responsibilities, support executive functions, coordinate projects, and contribute to continuous improvement efforts. This role requires strong technical skills, attention to detail, independent judgment, and the ability to manage multiple priorities in a fast-paced remote environment.

Key Responsibilities:

• Support daily operations by managing files, updating digital formats, maintaining templates, and improving administrative processes

• Provide technical support for administrative software applications and digital tools

• Perform document preparation, proofreading, spreadsheet management, reporting, and data entry

• Update specifications files and maintain internal company documentation

• Create and maintain internal resumes and support proposal management processes

• Conduct research and assist with company events, travel coordination, and training programs

• Coordinate onboarding activities and manage training logistics

• Prepare, track, and support company-wide meetings, including monthly, quarterly, and special sessions

• Maintain policy and procedure updates while ensuring accuracy and compliance

• Manage employee and client gift research, purchases, and delivery coordination

• Track document requests and ensure timely completion

• Monitor company email inboxes and phone messages while directing inquiries appropriately

• Support executive and director-level activities, including travel arrangements, scheduling, presentations, expense management, and special projects

• Assist with professional licensing activities and related administrative tasks

Requirements:

• Minimum 7 years of experience in a professional office or consulting services environment with executive-level support experience

• Strong knowledge of administrative and clerical procedures, file management, documentation, and office operations

• Advanced skill in using:

• Microsoft Office Suite including Excel, Word, Outlook, PowerPoint, Teams, and SharePoint

• Adobe and/or Bluebeam software

• Artificial intelligence, machine learning, and generative AI tools

• Strong knowledge of:

• Travel planning, event coordination, and administrative systems

• Document management, reporting, and process improvement

• Project tracking and workflow optimization

• Excellent written and verbal communication skills

• Ability to maintain confidentiality and manage sensitive information

• Strong organizational skills with the ability to manage multiple priorities and changing requirements

• Ability to work independently or with limited supervision in a remote environment

• Strong problem-solving skills with the ability to analyze situations and recommend solutions
