Overview
The Administrative Coordinator provides core administrative and office-management support to ensure efficient operation of an office, unit, or program. This role requires close collaboration with colleagues across teams and frequent coordination to plan events, manage schedules, handle records, and support both routine and confidential administrative tasks.
Specific Duties & Responsibilities
• Plan, organize and support daily activities of the office, unit, or program.
• Manage calendars for teams or individuals; schedule meetings and coordinate logistics.
• Prepare meeting materials (draft agendas, gather relevant documents) and provide staff support during meetings; record and draft minutes and follow up on action items.
• Provide general office services including payroll assistance, purchasing, records control, office moves/renovations, and facilities repairs/maintenance.
• Serve as a liaison with internal and external service providers as required.
• Identify administrative problems or inefficiencies and recommend practical solutions.
• Analyze operating practices (record-keeping, forms, workflow, office layout) and recommend process improvements.
• Compile and develop regular reports and assist in the preparation of presentations.
• Help plan special events and functions such as workshops and conferences and coordinate event logistics.
• Perform non-routine and confidential administrative duties as necessary.
• Coordinate and supervise work assignments for students or temporary support staff as needed.
• Assist with basic financial tasks including expense reports, invoices and reimbursements.
Position Specific Details
• Provide targeted operational and administrative support to the Finance & Sponsorship Committee and the Communications & Marketing Committee for the International Primary Health Care Conference 2025 (ICPHC25) in Addis Ababa, Ethiopia (October 6–10, 2025).
• Help identify and track potential sponsors and funding opportunities.
• Support development and distribution of promotional materials (flyers, social content, email newsletters).
• Assist with drafting and distributing press releases and media kits.
• Help coordinate media outreach and press engagement and monitor engagement metrics from digital channels.
• Provide on-site support during the conference with focus on sponsor representation and media coordination.
Minimum Qualifications
• High School diploma or graduation equivalent.
• Two years of related experience.
• Note: Additional education may substitute for required experience per JHU equivalency guidelines.
Preferred Qualifications
• Master’s degree and experience in health systems in LMICs and primary health care program planning preferred.
• Prior large-scale conference planning and execution experience is advantageous.

• Highly proficient with Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
