Job Description

The Administrative Assistant Billing is responsible for maintaining billing issues and missing/suspended charts for DMS and RTI. Provides secretarial/clerical support as needed to the Regional Directors, Facility Directors and Practice Manager.

This is a Monday – Friday 8am-4pm hybrid position.

Responsibilities

These are your responsibilities :

  • First to answer incoming calls. Analyze and route internal and external calls to the proper resource. Screen calls for urgency, set priorities, take accurate messages and channel them to the proper individual.
  • Provides support to the Practice Manager and other office staff for secretarial support to include transcription.
  • Assists in processes of mass mailings, including generation of flyers.
  • Assists with EMS Seminars throughout the year.
  • Distributes mail in the office and organizes to take to the facilities. Clear Fax machines and distribute to proper resource.
  • Assists in the coordination of the professional and facility billing process to include the following:
  • Checks off charts on missing and suspend lists to ensure that all charts are identified.
  • Uses computer software to locate electronic and scanned charts.
  • Work missing and suspended charts appropriately according to established SOPs based on chart age and type.
  • Communicates with each facility’s HIM department and/or Envision providers as needed to locate or complete any missing information.
  • Review charts for completeness for the following:
  • Patient demographics and insurance information (Facesheets) when required.
  • Cerner ED Note is complete or Physician T-Sheet is complete on both sides and signed by the physician.
  • Nurses Notes – when required for missing charts.
  • Downtime forms, wound care charts, and floor procedures
  • Travel to designated facility as needed
  • Perform other duties, as assigned

Qualifications

Education/Experience

High School Diploma with Medical Office training preferred

Knowledge & Skills

  • Basic understanding of medical terminology and general medical knowledge
  • Strong communication skills, written and verbal
  • Excellent listening and note-taking skills
  • Detail oriented with proven ability to work effectively under conditions requiring accuracy
  • Excellent organizational and time management skills
  • Computer proficiency to include Microsoft Word, Excel, Outlook and Internet
  • Ability to type 50 words per minute or above, adjusted for errors
