Description:
Vibrant Emotional Health is seeking an organized and proactive Administrative Assistant to support the leadership team and program staff within the 988 Suicide & Crisis Lifeline. This remote position plays an important role in ensuring efficient administrative operations, executive support, and coordination across a nationwide crisis support network.
The successful candidate will provide professional administrative assistance, manage schedules, coordinate travel arrangements, support financial documentation processes, and assist with executive-level organizational tasks. This role requires excellent communication skills, strong attention to detail, and the ability to work independently while collaborating with multiple teams.
Key Responsibilities:
• Provide organized administrative support to 988 Lifeline executive leaders and program teams using established procedures.
• Manage executive calendars, scheduling, and meeting coordination.
• Support credit card reconciliation processes for executive leadership in collaboration with the Finance team.
• Collect receipts, code expenses, and reconcile monthly credit card statements using expense management platforms.
• Coordinate executive travel arrangements, including flights, accommodations, documentation, and travel packets.
• Track and organize executive travel activities using project management tools such as Asana.
• Prepare meeting notes, record minutes, and distribute information to relevant stakeholders.
• Assist with administrative projects and ensure timely completion of assigned tasks.
• Anticipate upcoming needs and proactively support leadership operations.
Requirements:
• 2–3 years of experience as an Administrative Assistant or in a related administrative role.
• Associate’s Degree with coursework in Business Administration required.
• Bachelor’s Degree in Business Administration preferred.
• Certified Administrative Professional (CAP) credential or similar certification is a plus.
• Strong ability to multitask, prioritize responsibilities, and work under pressure.
• Excellent verbal, written, and computer communication skills.
• Strong organizational, project coordination, and time management abilities.
• Ability to work effectively with executives, internal teams, external partners, and community members.
• Flexible and adaptable approach in a changing work environment.
• Ability to provide Excel work samples and writing samples during the hiring process.
• Strong knowledge of:
• Executive administrative support, calendar management, and meeting coordination
• Microsoft Office Suite including Word, Excel, Outlook, and Zoom
• Travel coordination, expense management, documentation, and administrative processes
