Kelly is seeking a skilled Administrative Assistant to provide high-level administrative support in a remote capacity. This role involves managing calendars, coordinating travel, handling communications, and supporting various projects for multiple individuals. The ideal candidate is highly organized, detail-oriented, and capable of balancing multiple responsibilities in a fast-paced environment.
Responsibilities:
- Calendar Management: Schedule meetings, appointments, and events across multiple global time zones, manage conflicts, and anticipate needs.
- Travel Coordination: Arrange domestic and international travel, book flights, hotels, and transportation, and process expense reports.
- Communication and Information Management: Prepare, edit, and distribute presentations, reports, and correspondence; maintain confidential records and files.
- Resource Management: Oversee onboarding and offboarding of employees and contractors; maintain accurate rosters, distribution lists, and vendor contacts.
- Financial Administration: Assist with budget management, expense tracking, financial reporting, purchase orders, and vendor contracts.
- Virtual Meeting Support: Manage virtual meetings on Microsoft Teams and Zoom, including scheduling, technical support, and record keeping.
- Project Support: Provide administrative support for projects, including coordinating meetings, tracking tasks, and documenting progress.
Qualifications:
- 3-7 years of experience in senior-level administrative support.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio, SharePoint) and virtual meeting platforms (Microsoft Teams, Zoom).
- Familiarity with financial systems such as Ariba, Concur, and SharePoint preferred.
- Strong organizational and time management skills with high attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects, prioritize tasks, and maintain discretion with confidential information.
- Proactive, self-motivated, and able to work independently or collaboratively.
