About The Role

The Administrative Assistant position plays a key role in supporting senior leadership within the Sustainment Operations Management (SOM) and F-35 Sustainment Integration teams. Reporting directly to the Vice President of SOM and the Vice President of F-35 Sustainment Integration, this role requires a high level of organization, professionalism, and discretion. The role involves managing executive calendars using Microsoft Outlook, coordinating domestic and international travel, and handling executive correspondence with accuracy and confidentiality.

The Administrative Assistant will also be responsible for preparing polished reports, internal communications, presentations, and supporting meeting logistics, including agenda creation and participant coordination. In addition, this role provides administrative guidance to other support staff and helps maintain effective communication across leadership groups. The position operates in a fast-paced environment and requires flexibility to work from both the main plant and Beach Street locations. The schedule follows a four-day, 10-hour workweek, offering three days off to support work-life balance.

Qualifications

• Minimum of 5+ years of experience in an Administrative Assistant or similar executive support role
• Strong written and verbal communication skills
• Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
• Experience with internal systems such as LM Travel and Expense Reporting, LM Hospitality, and LM Visitor Management
• Demonstrated ability to handle sensitive and confidential information
• Excellent organizational, multitasking, and time-management abilities
• Strong interpersonal skills with experience supporting executive-level leadership
• Background in event planning and meeting coordination
• Detail-oriented mindset with strong problem-solving skills
• Proven ability to follow up on tasks and ensure completion
• Ability to remain professional and composed in high-pressure situations

Responsibilities

• Provide direct administrative support to Vice Presidents within SOM and F-35 Sustainment Integration
• Manage executive calendars, schedules, and travel arrangements
• Prepare professional correspondence, reports, presentations, and internal documentation
• Coordinate meetings, including agendas, logistics, and notifications
• Compile data and assemble detailed reports as required
• Process travel bookings, expense reports, and corporate credit card reconciliations
• Support and guide other administrative professionals within the organization
• Handle confidential information with discretion and integrity
• Prioritize tasks effectively to meet deadlines in a dynamic environment
• Assist with event planning, team activities, and engagement initiatives
• Ensure smooth communication flow across leadership and operational teams
