Description:
Acentra Health is seeking a dedicated Administrative Assistant to join our remote team and provide essential support that ensures daily operations run efficiently. This role involves managing calendars, scheduling, supporting communication and workflow, and executing administrative processes with accuracy. The position requires working full-time from home with provided technology, including a company-issued laptop, during Central Time Zone business hours (Monday through Friday, 8:00 AM to 5:00 PM CST).

Key Responsibilities:

  • Collect, review, and analyze data to prepare accurate reports, spreadsheets, charts, and presentations
  • Utilize Microsoft Word, Excel, PowerPoint, and other software to support administrative and reporting needs
  • Prepare, proofread, and distribute reports, correspondence, and internal communications
  • Maintain organized filing systems, databases, and record archives for accuracy and confidentiality
  • Screen incoming calls, respond to routine inquiries, and route calls appropriately
  • Coordinate and schedule meetings, appointments, travel arrangements, and team events
  • Support general administrative functions, including expense reports, office supplies, invoices, and purchase orders
  • Ensure compliance with workflows, regulatory requirements, and best practices
  • Follow corporate policies and procedures, including HIPAA Privacy and Security regulations

Requirements:

  • High School Diploma required; 1-3 years of administrative or office support experience
  • Strong written and verbal communication skills; ability to interact professionally at all organizational levels
  • Excellent organizational and time-management skills; ability to prioritize tasks and meet deadlines
  • High attention to detail and accuracy in documentation, scheduling, and data entry
  • Ability to exercise independent judgment, discretion, and problem-solving skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and other computer-based software
