About The Role

The Operations Corporate Administrative Assistant plays a vital role within SCI’s Operations departments by providing essential clerical, administrative, and project management support. This position ensures the smooth and efficient functioning of the organization through a variety of activities, including schedule management, document preparation, and project coordination. While primarily remote, the role requires occasional on-site participation at Frederick or Owings Mills locations. Standard working hours are from 8:30 am to 5:30 pm, with flexibility to accommodate evening and weekend hours as needed to support the organization’s diverse programs. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Qualifications

  • Associate degree in business or related field; bachelor’s degree preferred.
  • High school diploma or GED with 7+ years of relevant administrative experience will be considered in lieu of degree.
  • 2-5 years’ administrative experience with a bachelor’s degree or 3-7 years’ experience with an associate degree.
  • Excellent command of the English language, including high-level oral, reading, and written comprehension.
  • Ability to type a minimum of 60 words per minute (preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management tools and methodologies is preferred.

Responsibilities

  • Provide comprehensive administrative support to Operations department leaders, including managing schedules, emails, and meeting arrangements.
  • Prepare, edit, and distribute written communications, presentations, and reports.
  • Maintain an up-to-date inventory and backlog of departmental initiatives and projects.
  • Manage electronic records, contractual agreements, and related documentation ensuring organization and compliance.
  • Reconcile monthly credit card statements and coordinate invoice processing with accounts payable.
  • Organize and support departmental meetings and committees by creating agendas, compiling supporting documents, managing logistics, and documenting meeting minutes.
  • Develop and implement processes and systems to enhance project management efficiency.
  • Collaborate across departments to ensure policies and procedures are current, accessible, and properly archived.
  • Assist with special projects by maintaining records, preparing project documentation such as plans, schedules, budgets, and managing project archives upon completion.
  • Support operational functions, including equipment maintenance, and promote organizational philosophies of person-centeredness and shared leadership.
  • Participate in ongoing training and professional development activities to enhance skills and organizational knowledge.
  • Ensure all organizational objectives are met and perform additional duties as required to support the organization’s mission.
