Job Summary:
We’re seeking an adaptable Administrative Assistant II to support the Office Manager/Executive Assistant and Sales team. Based out of our Westlake Village office, you’ll be a multi-functional office resource — managing vendors, supporting company administration, helping maintain office presentation, and running engagement activities that keep the team connected and productive.

What you’ll do:

  • Serve as the primary contact for office vendors and suppliers: negotiate pricing, onboard new vendors, and manage vendor relationships.
  • Make and track company purchases (office supplies, equipment, memberships), filing receipts and maintaining accurate records.
  • Keep the office presentable and functioning — oversee general cleanliness and day-to-day facilities needs.
  • Plan, budget for, and execute team events and celebrations to boost morale and engagement.
  • Use the company CRM to access customer information and run standard reports as needed.
  • Maintain and organize legal and corporate documents (agreements, contracts, Schedule A documents) in the company’s eFiling system.

What we need from you:

  • High School Diploma or equivalent required.
  • Minimum 3 years of office/administrative experience.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks.
  • Comfortable negotiating with vendors and handling purchasing processes.
  • Experience with CRM systems and document management is an advantage.
  • A collaborative attitude and willingness to support cross-functional teams.
