About The Role:
We are seeking a highly organised and proactive Administrative Assistant (Finance) to provide executive-level support to the SVP of Finance and the North America finance leadership team based in Costa Mesa, CA. This role is central to the smooth operation of the finance function — you will manage complex calendars, coordinate high-priority meetings with senior executives (including CEO and CFO), and support cross-functional communication across business units.
Key Responsibilities:
- Executive support: Provide comprehensive administrative assistance to three finance leaders, including calendar management, scheduling high-priority meetings, and preparing pre-read materials.
- Long-range planning: Proactively schedule forecast, budget, and recurring meetings several quarters in advance.
- Cross-functional coordination: Facilitate communication across business units and corporate functions, keeping organisational calendars current.
- Travel & events: Arrange travel itineraries and logistics for leadership and manage on-site events, meetings, and training sessions.
- Presentations & reporting: Prepare and enhance presentations and reports using advanced PowerPoint and Excel skills; create visuals in Canva as needed.
- Tools & automation: Leverage Microsoft 365, Copilot/AI tools and Outlook expertise to drive efficiency and automation of routine tasks.
- Compliance & audits: Coordinate audit schedules, track submissions, and support compliance activities for the finance team.
- Expense & office operations: Support expense reporting processes and lead day-to-day office coordination for the North America finance group, liaising with facilities and IT.
- Culture & engagement: Assist with employee engagement programs, recognition activities and internal culture initiatives.
Qualifications & Skills:
- Minimum 5 years’ experience supporting senior executives or leadership teams.
- Advanced proficiency in Microsoft Office 365 (Excel, PowerPoint, Outlook) and experience with collaboration tools.
- Experience with AI/Copilot and automation tools is highly desirable.
- Familiarity with Canva or other visual design tools for presentation assets.
- Excellent organisational, communication and interpersonal skills.
- Ability to manage confidential information with discretion and professionalism.
- Strong project management skills and the ability to prioritise competing demands.
