Description:
Neovance is seeking a highly organized Administrative Assistant to provide dedicated support to our Executive Leadership Team (ELT) and Senior Leadership Team (SLT). This role is key in ensuring smooth operations, managing complex schedules, and coordinating high-impact meetings, enabling leaders to focus on strategic priorities and fast, effective decision-making.

Key Responsibilities:
• Manage SLT calendars and coordinate recurring leadership meetings including biweekly check-ins, business reviews, and board sessions.
• Schedule and support Town Hall meetings and executive preparation sessions.
• Coordinate executive availability and logistics across departments.
• Plan and manage in-person leadership meetings, including travel, catering, and venue arrangements.
• Order office supplies, leadership gifts, and handle event-related expenses.
• Maintain a centralized internal calendar of leadership meetings and key events.
• Partner with HR and cross-functional teams on onboarding schedules and ways-of-working initiatives.
• Support agenda development to promote productive and efficient meetings.
• Assist in building and maintaining internal platforms such as SharePoint.
• Provide basic technical support for virtual meetings, including setup, screen sharing, and troubleshooting.
• Review and route invoices for approval and assist with expense reporting and reimbursements.
• Collaborate with other administrative staff to ensure seamless support across departments.

Minimum Qualifications:
• 3+ years of experience in an administrative or executive assistant role.
• Experience supporting senior leaders or executives in a fast-paced environment.
• High school diploma required; associate or bachelor’s degree preferred.
• Experience using Asana.
