Description:
Archpix Engineering Consultants is seeking a highly organized, proactive, and detail-focused Administrative Assistant to join its on-site team in Dubai. This role plays a critical part in supporting day-to-day operations across departments, ensuring smooth office workflow, and maintaining effective coordination with both internal teams and external partners. The ideal candidate will be professional, reliable, and capable of handling multiple responsibilities with efficiency and discretion.
Key Responsibilities:
• Manage daily administrative operations to ensure smooth and efficient office functioning
• Handle incoming phone calls, emails, calendars, and meeting scheduling
• Maintain well-organized digital and physical filing systems
• Prepare reports, presentations, and official business correspondence
• Coordinate effectively with internal departments, clients, and external suppliers
• Monitor office supplies, manage procurement activities, and follow up with vendors
• Support HR-related tasks including onboarding, attendance tracking, and documentation
• Arrange travel bookings, visa processing, and related logistical requirements
• Handle confidential and sensitive information with professionalism and discretion
• Provide administrative and executive support to the CEO and senior management team
Qualifications & Skills:
• Bachelor’s degree in Business Administration or a related discipline
• At least 3 years of relevant experience in administrative or office management roles
• Excellent communication and interpersonal skills
• Strong organizational abilities with effective multitasking and prioritization
• Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook)
• Fluency in both Arabic and English (spoken and written) is mandatory
• Professional attitude with strong attention to detail
• Ability to work independently as well as collaboratively within a team
