Description:
We are seeking an energetic, highly organized Administrative Assistant to support our Leisure & Entertainment team in Dubai. This role suits someone who enjoys fast-paced settings, has a flair for coordinating live events, and is comfortable supporting creative and operational teams behind shows, promotions, and venue activations.
Key Responsibilities:
- Serve as the primary point of contact for guests, partners, vendors, and performers, delivering professional and friendly support.
- Manage executive calendars, schedule meetings, and coordinate event bookings and logistics.
- Assist with planning and executing internal events, public shows, and promotional activities.
- Maintain and update records, contracts, licenses, and event schedules to ensure compliance and smooth operations.
- Liaise with artists, agents, production crews, and event coordinators to confirm requirements and timelines.
- Handle incoming calls, emails, and general office communications efficiently.
- Prepare reports, documents, presentation materials, and promotional collateral as required.
- Support HR and finance tasks such as timesheet collection, basic payroll entries, and invoice processing.
- Manage office supplies, merchandise stock, and ensure inventory is up to date.
- Maintain confidentiality and adhere to company policies and data-handling procedures.
- Proficiency in English is essential.
Requirements:
- 1–2 years experience in administration, coordination, or a related role—experience within entertainment, events, or hospitality is preferred.
- Strong organizational, communication, and time-management abilities.
- Comfortable using Microsoft Office Suite or Google Workspace.
- Experience with scheduling/booking or event management software is an advantage.
- Willingness to work evenings or weekends when events are scheduled.
- Excellent command of English is mandatory.
Preferred Qualifications:
- Degree in Business Administration, Arts Management, Hospitality, or similar.
- Familiarity with entertainment licensing, artist riders, or venue operations.
- Creative outlook and genuine interest in music, arts, or live events.
- Experience with ticketing or event platforms such as Eventbrite, Vend, or similar is a plus.
