The Accounts Receivable Specialist plays a critical role in managing customer accounts, ensuring timely and accurate collections, and supporting company financial health. This position prepares reports on outstanding balances and collection activities to keep management informed about account performance and risks.

Duties & Responsibilities:

Customer Interaction

  • Build and maintain strong customer relationships to ensure satisfaction and loyalty.
  • Collaborate with internal departments to resolve customer concerns efficiently.

Accounts Receivable and Credit

  • Review daily aging reports and contact customers with balances over 30 days past due.
  • Document collection efforts, negotiate payment arrangements, and ensure timely resolution.
  • Monitor account payment behavior and escalate high-risk accounts to collection agencies or legal action when necessary.
  • Maintain accounts receivable over 90% current, with less than 3% over 90 days past due.
  • Respond to job queues promptly to avoid order processing or customer service delays.
  • Provide weekly and monthly updates on delinquent accounts to management.
  • Process ACH/ECheck, credit card transactions, lien waivers, and related documentation within one business day.
  • Handle NSF checks immediately.
  • Support branch locations with credit card issues, customer credit holds, and time-sensitive matters.

Other Accounting Tasks

  • Maintain proficiency with company computer systems including data entry, messaging, call logs, queue updates, and batching.
  • Perform other duties as assigned, adapting to evolving organizational needs.

Qualifications

  • High School diploma or GED equivalent.
  • 2+ years of accounting or related experience.
  • Strong aptitude for mathematical operations and numerical analysis.
  • Intermediate knowledge of MS Office suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Proficient with office technology including computers, scanners, phone systems, and virtual meeting platforms.

Physical Demands & Work Environment

  • Full-time position (approx. 40 hours/week).
  • Regular physical activity including bending, lifting, and carrying up to 50 lbs.
  • Prolonged sitting with intermittent standing and walking.
  • Continuous use of hands, fingers, and arms for office tasks.
