Description:
Promise Resource Network Inc. is seeking a diligent and detail-oriented Accounts Receivable (AR) Clerk to join our remote team. This full-time role plays a critical part in maintaining the agency’s financial integrity by ensuring timely, accurate billing and collections of revenue from grants, service contracts, donations, and reimbursements. The AR Clerk collaborates closely with program teams, grant managers, and the finance department to support financial transparency and compliance.
Key Responsibilities:
• Prepare and send invoices for contracts, grants, and service agreements promptly.
• Record cash receipts, including ACH, checks, and online donations, accurately in the accounting system.
• Monitor accounts receivable aging and follow up professionally on overdue invoices.
• Coordinate with grant and program managers regarding billing milestones and reporting requirements.
• Assist in cost coding and classification of revenue by fund, department, or project.
• Reconcile AR sub-ledger to general ledger on a monthly basis.
• Track and document in-kind contributions and reimbursements as necessary.
• Prepare reports for the Finance Manager, Executive Director, or funders.
• Support month-end close and annual audit processes with proper documentation.
• Maintain both digital and physical filing systems for invoices and payment records.
Qualifications & Experience:
• Associate degree or higher in accounting, finance, or a related field, or equivalent professional experience.
• At least 2 years of accounts receivable experience, preferably in a nonprofit or grant-funded setting.
• Experience with fund accounting, grant management, or nonprofit financial systems is ideal.
• Familiarity with financial management software (e.g., Xero, Jirav, Zeffy, or similar).
• Strong personal responsibility, reliability, and teamwork skills.
• Demonstrates honesty, integrity, and ethical conduct.
• Excellent time management and ability to meet deadlines.
• Strong oral and written communication skills.
