Position Summary
The Accounts Payable Specialist is the sole responsible party for managing the Company’s accounts payable (AP) process efficiently and accurately while ensuring compliance with applicable policies and procedures. The Accounts Payable Specialist will own the end-to-end AP process, and be the primary point of contact for vendors, suppliers, and the business when it comes to AP matters and decision making.
This position is remote with a corporate headquarters in Foster City, CA and Parsippany, NJ. The Accounts Payable Specialist will report to the Senior Manager, Accounting.
Primary Responsibilities
- Receive, review, and process high-volume supplier invoices in an appropriate and accurate manner
- Manage and monitor the AP email box to ensure timely processing of invoices and inquiries
- Ensure all invoices are properly coded, matched, and approved for payment
- Resolve any invoicing, coding, or matching issues with the internal owner and/or purchasing team
- Perform regular invoice reconciliations and resolve discrepancies with the business
- Maintain positive vendor relationships by researching and resolving any inquiries or discrepancies in a timely and professional manner
- Plan, prepare, and process weekly payments, including checks, ACH transfers, and wire transfers to ensure bills are paid in a timely and accurate manner
- Input and verify the accuracy of payment details, address issues, and maintain data in Coupa Pay
- Maintain accurate and organized AP records
- Generate reports, including aging reports for month-end close and prepare reconciliations
- Analyze data to identify trends and areas for improvement in utilizing the Coupa system
- Contribute to process improvement initiatives and automation projects
- Ensure adherence to financial regulations, Company policies, internal controls, and best practices
- Ensure adequate and continuous controls are executed for all assigned activities
- Reconcile AP balances with the financial reporting system
- Process 1099 year-end tax reporting
- Assist with periodic financial audits and provide necessary documentation
- Assist with special projects as needed

Experience
- Associate degree or higher in accounting or related field preferred
- At least 5 years of AP experience
- Prior experience in the pharmaceutical or biotechnology industry preferred
- Experience using Coupa and Coupa Pay for AP processing
