Description:
The Geneva Foundation is seeking an experienced and detail-oriented Accounting Specialist to join our Finance Department in a fully remote capacity. This role focuses primarily on accounts payable but also encompasses a range of accounting and procurement responsibilities. The ideal candidate will be highly organized, professional, and capable of managing multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities:
▪️ Manage day-to-day accounts payable and receivable processes including invoice and credit memo processing, cash disbursements, EFT payments, and reconciliation of vendor accounts.
▪️ Maintain comprehensive documentation for all A/P and A/R activities, including vendor files, customer accounts, and internal records.
▪️ Prepare customer invoices, statements, cash receipt entries, EFT/ACH deposits, and annual 1099s.
▪️ Review and resolve coding discrepancies for all A/P and A/R General Ledger entries prior to processing.
▪️ Ensure Finance internal controls are followed and assist with documentation for annual audits.
▪️ Collaborate with the Finance Manager to ensure correct project coding and accurate reporting.
Procurement & Management Responsibilities:
▪️ Oversee procurement activities, providing professional guidance on services, equipment, supplies, capital purchases, and consultant contracts.
▪️ Ensure compliance with federal, state, and local regulations, as well as internal purchasing policies.
▪️ Promote a high-performance culture within the procurement function, meeting KPIs and improving internal and external customer service.
▪️ Collaborate with program management, business development, and finance teams for accurate forecasting, planning, and alignment of objectives.
▪️ Implement process improvements to enhance efficiency and accuracy in procurement and accounting operations.
▪️ Serve as the administrator for procurement software, manage encumbrances, and oversee all bids, RFPs, and quotes.
Qualifications:
▪️ AA in Accounting or related field.
▪️ 2-4 years of A/P and A/R experience; 1-2 years in non-profit, research, or healthcare preferred.
▪️ Strong oral and written communication skills.
▪️ Highly organized, detail-oriented, and professional demeanor.
▪️ Flexible with changing priorities and able to handle confidential financial data.
▪️ Intermediate proficiency in Microsoft Excel and Office software.
▪️ 10-key by touch.
