About The Role:
This fully remote, full-time position reports to the Director of Finance & Operations. The Accounting & Operations Specialist will manage accounts receivable workflows, ensure accurate financial data, support month-end close and reporting cycles, and strengthen internal systems and processes. The role also includes light technology responsibilities and full ownership of accounting operations.

Responsibilities:

  • Execute ongoing bookkeeping tasks: coding transactions, preparing journal entries, reconciling accounts, and completing month-end close
  • Ensure accuracy and consistency of accounting data across multiple platforms including QBO, Ramp, Kantata, Rippling, and other integrations
  • Lead and support system integrations, workflow improvements, and documentation for operational efficiency
  • Manage accounts receivable workflows: invoicing, payments, communications, collections, and failed payment resolution
  • Provide staff guidance and training on finance and operations systems and workflows
  • Support lightweight IT tasks and coordinate with external IT support for complex issues
  • Prepare pay runs in Rippling from project management time tracking (Kantata)
  • Assist in preparing monthly financial reporting packages for Leadership
  • Contribute to weekly cash flow projections, quarterly P&L forecasts, and annual budgeting processes

Onboarding & Timeline:

  • First 30 Days: Orientation, learn A/R workflow, shadow bookkeeping, setup new projects in QBO
  • Days 31-60: Take ownership of A/R follow-up, perform data entry, complete month-end close, suggest process improvements
  • Days 61-90: Fully own A/R, maintain expense accuracy, execute accounting tasks with minimal oversight, implement workflow improvements
  • Success After One Year: Serve as a key resource for accounting processes, reduce A/R >30 days, deliver timely monthly close, implement major workflow or system integrations, manage priorities independently
