About The Role:
The Accounting Administrator will work closely with professional and operations staff as part of the Accounting Team. This role involves performing standard accounting activities, collaborating with project management, field, and design staff, and ensuring compliance with company policies. The position requires discretion and independent judgment on routine work, while providing detailed execution on new assignments.

Essential Functions:

Accounting Administration (70%):

  • Respond to employee and vendor inquiries regarding accounting matters, routing as necessary
  • Complete credit applications and vendor registrations
  • Post timesheets and send reminders weekly
  • Monitor past due expense reports and provide follow-up
  • Import credit card charges and review employee relocation expenses for adherence
  • Track, review, and report past due expense reports and timesheets
  • Complete requested adjustments and train new employees on timesheets and expense reports
  • Data entry for new hires including PTO and direct deposit information
  • Monthly review of PTO balances
  • Track vendor documents (W9, ACH, diversity, NDA, safety policy)
  • Confirm banking information for new vendors
  • Update accounts receivable/payable schedules and diversity spend on supplier portals
  • Support department in organizational matters

General Accounting (20%):

  • Review and post daily cash and non-AP expense transactions
  • Assist in financial report preparation and external audits
  • Data entry for various accounting modules

Budgeting / Forecasting (10%):

  • Assist with forecasting and preparation/maintenance of budgets

Completion of Assigned Tasks and Deliverables:

  • Perform other duties as assigned to ensure timely and accurate completion

Position Requirements (Intermediate Level):

  • Knowledge of standard accounting practices
  • Proficiency in MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams)
  • Ability to work effectively in a remote environment with strong communication, organization, and self-motivation
  • Ability to communicate technical and non-technical information clearly
  • Analyze complex problems, evaluate alternatives, and implement effective solutions
  • Prepare and maintain accurate records, files, and reports
  • Work successfully both independently and as part of a team
  • Manage multiple tasks under pressure and meet deadlines

Physical Demands:

  • Frequently remain stationary and move within office/facility environments
  • Occasionally move equipment up to 25 pounds

Travel / Relocation Requirements:

  • Up to 5% travel within the U.S. for client sites, meetings, industry conferences, or business development
