Job Overview

We are in search of a meticulous and proactive Accounting and Administrative Assistant who will become a vital part of our team. This hybrid role allows for a blend of in-office and remote work, offering essential support to our Accounting department while enhancing overall office operations. Key Responsibilities

  • Manage front office reception tasks, including welcoming visitors and overseeing administrative paperwork.
  • Conduct purchasing and stocking of break room supplies to maintain a hospitable environment.
  • Assist the HR department in organizing company events and activities.
  • Process and manage outgoing mail and packages, ensuring timely delivery.
  • Enter daily cash receipts into QuickBooks and prepare related deposits.
  • Generate daily and monthly invoices for products and agreements while maintaining sales tax exemption certificates for active clients.
  • Facilitate collection letters for discrepancies relating to sales tax and invoices.
  • Conduct data entry for new customer accounts and maintain W-9 forms for Accounts Receivable and Payable functions.
  • Review bill transactions in QuickBooks and ensure fidelity through quality control measures.
  • Maintain organized electronic and physical filing systems for documentation.

Required Skills

  • Proficiency in QuickBooks, Microsoft Office Suite (Excel, Word, Outlook), and Adobe software.
  • Strong organizational acumen and keen attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple priorities efficiently and effectively.
  • Discretion and professionalism in handling confidential information.
  • A solid work ethic and high level of business insight.

Qualifications

  • High school diploma or equivalent (GED) is required; an associate’s or bachelor’s degree in accounting, business administration, or a related field is preferred.
  • A minimum of one year of experience in a comparable role, ideally within accounting or administrative contexts.
  • Familiarity with basic accounting principles and office management best practices.
