Your Role as Grant Coordinator
The Grant Coordinator will support the synchronization of the company’s awarded grants by ensuring compliance with post-award requirements, timely reporting, and alignment with grant goals and organizational objectives. This role will assist regional teams with grant monitoring and reporting processes, provide guidance to operational staff, and monitor the spending down of funds. This position will act as a key liaison between the operations team, finance team, and the grant management team, fostering a culture of accountability to grant objectives while addressing questions and providing guidance. Additionally, this position will analyze grant data, identify trends, and recommend solutions to improve grant implementation and maintenance.
The Grant Coordinator will also perform administrative tasks related to grant contracting, including tracking and organizing key documents, facilitating communication between grant funder and regional teams, and ensuring all necessary registrations and compliance measures are met. This role will maintain a tracking calendar of reporting deadlines, send reminders, assist regions with grant extensions and renewals, and support financial oversight by obtaining invoices and monitoring grant spend-down.
Job Responsibilities
- Register, verify, and maintain grant-related registrations, including SAM.gov and other federal and state vendor portals.
- Track and troubleshoot UEI issues and ensure accurate registration information.
- Support the contracting process for new grant awards by coordinating documentation, ensuring compliance, and facilitating communication between internal teams and funders.
- Develop and maintain a one-page summary for finance and regional teams on newly awarded grants to provide clarity on reporting and spending guidelines.
- Organize and support the kickoff process for new grants, ensuring regional teams receive the necessary information and resources for implementation.
- Maintain a tracking calendar of reporting due dates, sending reminders to regional and operational teams as needed.
- Assist regional teams with grant extensions, renewals, and reporting to ensure compliance and alignment with organizational goals.
- Track and organize grant-related files from regional teams, ensuring accessibility and proper documentation.
- Compile and distribute a bi-weekly dashboard email to Regional Vice Presidents (RVPs) summarizing key grant updates, spending trends, and action items.
- Obtain copies of invoices to verify grant expenditures and support financial reporting.
- Monitor grant spend-down, flagging potential over/under-spending concerns and coordinating with finance and operations to ensure proper fund utilization.
- Analyze grant data, identify trends, and develop summaries or reports for internal departments, operations leadership, and finance.
- Develop tools, templates, and processes to streamline data collection and improve reporting accuracy.
- Perform other duties as assigned.
Your Education, Skills, & Qualifications
- Bachelor’s degree required; post award grant experience preferred
- Highly organized, analytical/solution focused and ability to manage multiple projects
- Team player who has the ability to work effectively in collaboration with multiple stake holders.
