Description:
We are seeking an experienced Finance Associate to join our team and assist with the firm’s routine bookkeeping and day-to-day accounting operations. This position will provide bookkeeping and general accounting support to the Finance Team. The ideal candidate will have a strong foundation in accounting principles, attention to detail, and a proactive approach to problem-solving.
This role is designed to support the Controller/Accounting Manager by managing assigned accounting functions such as payroll, accounts payable, accounts receivable, reconciliation, and general ledger activities, ensuring that our accounting systems are accurate and up to date. The finance team comprises the Controller/Accounting Manager and this new position.
The ideal candidate will have a strong foundation in accounting principles, attention to detail, and a proactive approach to problem-solving.
This is a remote, full-time position requiring occasional travel for in-person events and workshops. This position may require work outside of standard business hours (board meetings, org-wide events, etc).
This role is not part of the bargaining unit.
Responsibilities
Bookkeeping/Accounting
Payroll
- Run and review payroll reports prior to payroll and update variance reporting
- Post payroll reports to the general ledger including allocating payroll by class
Accounts Receivable
- Process accounts receivable including:
- Invoice clients on a monthly and daily basis
- Monitoring and reporting on payment status. Post payments received in the accounting system upon receipt
- Ensure timely recording and reconciliation of non-electronic deposits
- Ensure timely collection by issuing appropriate reminders and taking appropriate escalating steps for nonpayment
Accounts Payable
- Process accounts payable including:
- Onboard new vendors into Ramp
- Enter bills, obtain required approvals, and schedule for payment by the due date
- Match bills to Purchase Orders and resolve discrepancies
- Obtain and record 1099/1098 status for required filing. Ensure 1099’s are submitted timely and accurately to the IRS
General Accounting
- Reconcile assigned bank statements and credit card accounts, ensuring financial accuracy and integrity
- Propose and post approved journal entries
- Process assigned expense reimbursement via Ramp
- Maintain the general ledger recording revenue, expenditures, and paid paid media spend in our accounting system
- Monitor a dedicated email account for accounting/finance related communications and provide timely response/escalation of issues
- Assist with preparing and assembling financial information for reporting and tax filings
- Collaborate with the Controller to create and track the annual budget
- Update fiscal policies and procedures documentation for consistent coordination and execution
- Prepaid refund requests for paid media balances for closed and inactive accounts, in a timely manner
Other Duties and Responsibilities
- Conduct transaction research
- Support ad hoc financial reporting
- Primarily during busy election periods, responds occasionally to emergent accounting related matters (invoicing, payment status updates, off-cycle payments) outside of business hours
- Exercising sound judgment and communication to keep Controller informed on daily/weekly issues requiring resolutio
Requirements
- Highly organized with the ability to work with precision and meticulous attention to detail
- High level of professionalism in handling confidential/sensitive information
- Excellent written and verbal communication skills
- Experience working in a startup/growth environment preferred
- Demonstrated ability to prioritize and manage multiple tasks with attention to deadlines
- Demonstrated ability to work independently
- Ability to provide finance related administrative support across the organization
- Bachelor’s degree in accounting or relevant financial degree. Associate’s degree in accounting plus relevant years of experience will also be considered
- Experience with Quickbooks Online, Justworks, Ramp preferred
- Proficiency in Google’s G Suite preferred
- Experience with Google Sheets and Excel is required
