Hiring Executive Secretary

Location: Sharjah, UAE

Job Overview:

The Secretary to the Chairman and Group Director plays a crucial role in ensuring the smooth functioning of the executive office by providing high-level administrative support. The ideal candidate must be proactive, detail-oriented, and capable of handling a dynamic work environment while always maintaining professionalism.

Key Responsibilities:

  • Manage and maintain the Chairman’s and Group Director’s calendars, including scheduling meetings, appointments, minutes, follow-up action points, agendas etc
  • Handle correspondence, emails, and phone calls on behalf of the Chairman and Group Director.
  • Draft, edit, and review documents, reports, and presentations as required.
  • Organize and coordinate internal and external meetings, including board meetings, executive reviews, and client interactions.
  • Ensure all necessary materials are prepared in advance for meetings.
  • Assist in hosting visitors and clients, ensuring proper hospitality.
  • Arrange domestic and international travel itineraries, including visas, transportation, accommodations, and itineraries for the top management and with their guests.
  • Serve as a liaison between the Chairman, Group Director, and internal teams or external stakeholders.
  • Assist in planning and organizing corporate events, conferences, and gatherings. Ensure seamless execution of event by coordinating other departments like F&B etc
  • Handle sensitive and confidential information with the highest level of discretion. Ensure strict confidentiality in all communications and document handling.
  • Oversee office supplies, equipment maintenance, and general upkeep related to the executive office.
  • Assist in various personal or professional tasks as required by the Chairman as like Personal Medical treatments & Follow-up.
  • Perform any additional duties as assigned to support the Administration departments

Qualifications:

  • Bachelor’s degree in business administration, or a related field of Computer science
  • Proven experience as an Executive Secretary, Personal Assistant, or in a similar role, preferably supporting senior executives.

Skills & Competencies:

  • Strong verbal and written communication in English & Hindi (proficiency in other languages is a plus).
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office management software.
  • High level of accuracy in work, with excellent proofreading and formatting skills.
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines efficiently.
