Hiring Executive Secretary

Job location- Dubai, UAE

The candidate will be responsible for ensuring the smooth running of the office on a day-to-day basis by creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety

The candidate will work closely with the Company Directors and represent them during their absence in the office

Job Duties & Responsibilities:

  • Prepare management-level reports, presentations and correspondence.
  • Organize calendars and schedule meetings and appointments
  • Liaise with staff, suppliers and clients
  • Maintain office services by organizing and implementing office operations and procedures
  • Serve as the point person for maintenance, mailings, accommodation, tickets, supplies, equipment, insurance, vehicle, utilities, bills, errands, and shopping.
  • Control correspondence, design filing systems, maintain databases, maintain procurement procedures, conduct researches, gather quotations, maintain and summarize data
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment, furniture and supply procurement and maintaining proper stock level

Education, Qualifications and Skills:

  • A bachelor’s degree or equivalent.
  • Five (5) years’ experience
  • Multi-lingual candidate: English and Arabic Languages spoken and written. French and Italian language would be considered as a plus
  • Excellent written and verbal communication skills
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Excellent managerial and organizational skills
  • Excellent time management skills, adaptability, flexibility, and ability to multitask and prioritize work
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements
  • Discretion and trustworthiness
